Employee Records

Aiden keeps one auditable record per employee — profile, documents, contract and job history — that every other module reads from, so attendance, payroll and compliance never disagree about who someone is.

What it does

  • Complete employee profiles with documents and photos
  • Import wizard proven with 1,500+ records in a single run
  • Bulk operations with preview before commit
  • Contract, transfer and promotion history

One record, many readers

When employee data lives in several systems, they drift: payroll has an old bank account, attendance has a stale designation, and the org chart shows someone who left. Aiden keeps a single record and lets every module read it, which is why a change of branch or grade is immediately correct everywhere.

Documents with expiry, not a shared drive

CNIC copies, contracts, qualifications, licences and medical certificates are attached to the person with issue and expiry dates, so renewals surface before they lapse rather than during an audit.

Getting your data in without a project

The import wizard maps your existing spreadsheet columns, validates every row, shows you a preview and only writes after you confirm. It has been used to load over 1,500 employees in a single run, and bulk operations follow the same preview-then-commit discipline.

Scoped access by role and branch

A branch manager sees their branch. HR sees what their role permits. CNIC and salary visibility follow permissions rather than being open to anyone with a login, and every change is written to the audit trail.

History, not just a current snapshot

Knowing what an employee's salary is today is easy. Knowing what it was in March, when they moved branch, and who approved the change is what an audit, a dispute or a back-pay calculation actually needs.

Aiden records job changes, transfers, promotions and salary revisions as effective-dated events, so any date can be reconstructed rather than inferred. Nothing is overwritten in place.

Onboarding 1,500 employees from spreadsheets

  1. 1Export your existing employee sheet and map its columns in the import wizard.
  2. 2The wizard validates every row — dates, CNICs, duplicates, missing required fields — and reports problems before writing anything.
  3. 3Review the preview, fix the flagged rows in your sheet, and re-run the validation.
  4. 4Commit. Records are created with documents and reporting lines intact, and the import is logged.
